Design Recommendations

1.            Certain conference planning activities and execution processes will be automated by the system. One of which is the production of the Book of Abstracts. The automation of the process of generating book of Abstracts during conferences will enable registered participants to simply log in to print copies for themselves after each event. Copies will bear members’ respective Permanent Membership Number PMN and Full Name to encourage all to be duly registered to have a copy. The LOC may also wish to print and distribute it during such events if hard copies are needed.

How the Book of Abstract System would work?

During Registration for Conference, some members would submit Abstracts for presentation through a form available on the portal, while some may not be interested in Paper presentation.

At the close of registrations for conference, the Admin of the LOC logs in and clicks to accept or reject submitted Abstracts. Those accepted move into populating the pages of the Book of Abstracts and those rejected move into a “trash archive”.  This means that there will be different access levels: Super Admin Access, Events Admin Access and Membership Access

With a final click of a button labelled “Complete” by the Events Admin after they have all submitted abstracts, each participant can then log in to print his or her book of Abstract arranged in the order in which they were accepted. The LOC can also download an Admin copy to distribute to participants if they choose to do so.

The cover page of the Book of Abstract will be uniform throughout all conferences of NMS done in different years, except for unique information like the Host Institution’s name, Venue and Theme to distinguish each conference from another. These contents are automatically lifted from information provided about the conference by the appointed Events Admin assisted by the who is the Super Admin. Each new event will need the super admin to create the Event Admin while creating the event.

2.            Certificates of Presentation: With single clicks against each submission by members who made presentations, Certificates are generated by the Portal for download and a copy instantly sent as email to the respective participants.

3.            Certificate of Participation: It takes care of Certificates of Participation all via the portal with simple clicks respectively by an assigned Administrator amongst LOC of each conference just like in 2 above.

4.            Online Secured Voting System: Council elections can be conducted through the secured system and only duly registered members can have access to the voting section of the portal to cast their votes.

5.            Payment System: Every LOC bank account receives the payments for each conference directly while membership dues instantly go into NMS official account. It will allow for international transactions from anywhere on earth including donations.

6.            It reduces the secretarial work done by the LOC during conferences and saves time and manpower for other pressing tasks.

Recommendations

1. Council Members Section: when each Name, Picture and Address of Council Members is clicked, it should take one to the full details of that member.
2. Fellows Section: When each Name, Picture and Address of Fellows is clicked, it should take one to the full details of that member.
3. Members Section: When each Name, Picture and Address of member is clicked, it takes the visitor to the full details of the member. Members to appear in Alphabetic order
4. Members should be searched through categories filters or as a whole “All Members” where the search string can bring up search from the entire database.

CERTIFICATES

1. Certificate of Previous years do not carry the right year on the certificate
2. Order of arrangement of names (First Name, Middle Name and Last Name are preferred instead of First Name, Middle name and Surname) on Certificate should be decided by member. The way each person arranges it is the way it appears for him. Already in order. State on the portal that members should decide how it should appear.
3. Members should be able to download previous certificates bearing their details and the actual year it was paid. They all currently carry the current year until you set the year in DBase. This is not a good idea as I get called too many times to set and reset membership_period in dbase table.

PAYMENTS

1. All payments must not go into the same account. We should be free to create new account to receive money using newly entered gateway API setting in admin. We should be able to create multiple payments for different events which may be happening concurrently.
2. Members should be able to see their entire payment made over time.
3. Each person or Admin should be able to see the total payments a person has made over time.
4. We noticed that when we update from one membership status/category to another status/category, the entire payments made in the past start showing the amount payable for the new status thereby giving wrong information different from the actual total payment made over time by the person.
5. Book of Abstracts must be in groups. Groups should have codes, for example: Applied Mathematics is APM
6. News section with summary of news which when clicked takes someone to the full page

Front End

1. The frontend can simply imitate what we have in the current Codeigniter design with freedom to choose colour theme. Do you think we should use the theme I used in this website with Laravel framework that you recommended: iorms.org.ng? But that one is protected for sale and may not be suitable except we can break the security key. If you have a better idea of frontend theme, I will welcome it.
